1. Introduction

These Terms and Conditions (“Terms”) apply to all participants (“Participants”) attending events, workshops, and retreats (“Events”) organized by Afro Cuban Retreats Ltd. (“Company”). By registering for and attending any Event, you agree to these Terms. Please read them carefully.

2. Event Concept

Afro Cuban Retreats™ Ltd. offers Afro-Cuban workshops, retreats, classes, travel, guided tours and with the aim and objective of fostering a deep understanding of Afro-Cuban music, dance, and traditions while supporting the cultural heritage of Afro-Cuban.

3. Health and Safety

Participants acknowledge that dance activities and other physical activities involve inherent risks. Afro Cuban Retreats™ Ltd. will take all reasonable measures to ensure the safety of all Participants; however, Participants engage in all activities at their own risk. It is the Participant’s responsibility to ensure they are physically fit and able to participate in the activities. The Company is not liable for any injuries or health issues that may arise during the Events. We strongly recommend that Participants seek medical advice if they have any concerns about their ability to participate.

4. Responsibilities

• Afro Cuban Retreats™ Ltd. is responsible for providing the retreats, activities, tours and workshops and making all arrangements for social events that are part of the programme.
• The Company reserves the right to make slight modifications to the class programme, itinerary, retreat locations and any other aspect of the retreat if necessary.
• Time management is crucial. Participants are expected to arrive on time and be ready to begin the retreat on the scheduled date and time.
• Participants grant permission to be filmed, recorded, or photographed during the retreats. These materials may be used for promotional or marketing purposes without compensation.

5. Cancellation Policy

Retreat Cancellation by Afro Cuban Retreats™ Ltd.

• If the Retreat/Event is cancelled by the Company, Participants will receive a full refund.

Participant Cancellation

• Within 14 Days of Reservation: Participants who cancel their reservation within 14 days of making the booking are entitled to a full refund, minus any applicable administrative fees. This policy applies only if the cancellation is made more than 90 days before the Event start date.
• Up to 90 Days Before the Event: For cancellations made up to 90 days before the Event, Participants will receive a 50% refund of the total payment, minus an administrative fee for international transactions. This reduced refund takes into account the planning and logistical costs incurred by Afro Cuban Retreats™ Ltd. leading up to the Event.
• Between 89-30 Days Before the Event: For cancellations made between 89 and 30 days prior to the Event, no refund will be provided. The booking becomes non-refundable due to the significant financial and operational commitments made by Afro Cuban Retreats™ Ltd. during this period.
• Less Than 30 Days Before the Event: Bookings made within 30 days of the Event start date are strictly non-refundable. This policy is in place because the Company will have already incurred the full costs of securing venues, instructors, accommodations, and other logistical arrangements.
• Emergency Cancellations: If a Participant needs to cancel due to an emergency or health-related issue, a refund may be considered on a case-by-case basis. Medical proof will be required to substantiate the claim. The refund amount will be determined based on the timing of the cancellation and the specific circumstances involved. Please note that even in cases of emergency, cancellations made within 30 days of the Event are generally non-refundable.

Non-Refundable Payments

• All payments are considered non-refundable unless explicitly stated otherwise within this cancellation policy. Participants are strongly encouraged to consider travel insurance to cover unforeseen circumstances that may necessitate cancellation.

Ticket Transfer

• If after submitting payment a Participant is unable to attend the Event, they may transfer their ticket to another person. Please contact us on info@afrocubanretreats.com.

6. Filming

• Filming during classes is prohibited. However, Participants will have the opportunity to film their teachers performing the steps, movements, and sequences taught in each class at the end of the workshop.

7. Feedback

To improve future Events, Afro Cuban Retreats™ Ltd. will ask for feedback from Participants at various points during the course. Participation in providing feedback is appreciated.

8. Legal Disclaimer

Afro Cuban Retreats™ Ltd. is not responsible for any loss, damage, or injury sustained by Participants during the Events. Participants are responsible for their own personal belongings. The Company does not accept any liability for any damage or loss of property.

9. Governing Law

These Terms and Conditions shall be governed by and construed by the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
